This week The PMO Podcast™ Featured Story presents, “The PMO Summit 2008”, an interview with Marie-Louise Adlercreutz, IQPC Conference Director, presented by Mark Perry (about Mark), host of The PMO Podcast™. Are you seeking to setup a PMO this your or next? Could your existing PMO be more successful in its efforts to deliver projects within the set time-frame and budget? If so, this exclusive conference presents an invaluable opportunity for you to hear practical experiences that highlight best practice strategies from leading organizations. The PMO Summit 2008 is for PMO executives who want to take their program management efforts to the next level moving beyond a strict focus on technology and accreditation, but effectively incorporating the "soft skills" associated with team-building and leadership development to create a more holistic PMO strategy.

The PMO Podcast™ Points Memo presents, “Don't Rush Planning." Have you ever heard the expression, “The early bird gets the worm?” Those that are always in a hurry to do things, always have a mindset to rush things along. For people like this, there is never enough time to do it right the first time, but there is always enough time to do it over, and over, and over?

The PMO Podcast™ Mailbag answers a listener question about project manager authority to pause the project or change the schedule.

This week The PMO Podcast™ Featured Story presents, “Establishing a Community of Practice in 7 Easy Steps”, an interview with Andrew Maker, SME, Gantthead.com, presented by Mark Perry (about Mark), host of The PMO Podcast™. Have you considered establishing a community of practice? Are you a bit concerned that your Community of Practice does not become one of those initiatives that starts out with great enthusiasm, but quickly loses steam and support? Well, today we have Andrew Makar, an expert in project and program management, with us. Andrew recently wrote an excellent article entitled, “Establishing a Community of Practice in 7 Easy Steps”, and he is here with us today to tell us all about it.

The PMO Podcast™ Points Memo presents, “Balance Theory with Practicality." When it comes to setting up and managing a project office, there is a lot of theory out there, but how much of that theory is practical? Whether it is a tool, a technique, a methodology, a process, a policy, or a metric, a theory that is not balanced with practicality is of little value to most PMOs.

This week The PMO Podcast™ Featured Story presents, “How to Develop a Strategic Plan for the PMO”, presented by Mark Perry (about Mark), host of The PMO Podcast™. The benefits of a Strategic Plan are many fold. First, you answer some very straight forward questions that any business unit needs to be able to answer. Second, you speak a common strategic language that will be understood from the members of the business unit to those the business unit supports and on up to executive management, especially the CFO. And third, you place in the proper context of the strategic plan those things that make up the strategic plan. But far too often, PMOs do not have strategic plans and the resulting PMO Charter may, or may not, find support and funding in the executive office.

The PMO Podcast™ Points Memo presents, “Five Tips for Better Decision Making." If you're a PMO manager or project manager, you're a decision-maker and you have to make decisions, big and small, just about every day. When it comes to decision-making, common sense, experience, and intuition are helpful to have. And in addition to that, it is helpful to have a decision making process to ensure that decisions are made with the right amount of thinking and with the right amount of speed. Decisions made too quickly can be costly as can be decisions that are made too slowly.

The PMO Podcast™ Mailbag answers a listener question about whether or not the PMO Manager should be a certifed PMP.

This week The PMO Podcast™ Featured Story presents, “How to Encourage Bright Ideas”, presented by Mark Perry (about Mark), host of The PMO Podcast™. Companies run on ideas, but how do you get your people to generate them? According to the experts like Robinson and Schroeder, smart companies establish mechanisms where people can discuss think about their ideas, submit them to management in an actionable format, and then have management decide, act, and communicate as appropriate. If you value the ideas of your employees, you need to get them.

The PMO Podcast™ Points Memo presents, “Thinking outside the box." Thinking outside the box is one of those catch-phrases that is used in business all the time, especially by management consultants and executive coaches. Everyone has heard this phrase. I have heard it millions of times. Thinking outside the box is to think differently, unconventionally, from a new perspective. This phrase often refers to novel, creative and smart thinking. And, some folks refer to this as lateral thinking. But, how do you do it?

This week The PMO Podcast™ Featured Story presents, “Enterprise Project Management with Microsoft Project Server”, an interview with Tony Zink, EPM Subject Matter Expert, with MSProjectExperts, presented by Mark Perry (about Mark), host of The PMO Podcast™. So you are planning to implement Enterprise Project Management. You no doubt have many objectives driving your enterprise project management strategy. And to achieve those objectives, you will need to find and implement the best EPM system for your company amidst all kinds of vendor alternatives and deployment options. And that is just the technical side of things. Also, you will need to address the People side of enterprise project management. And what exactly does that mean? Tony Zink, an expert in Enterprise Project Management will help us with both the Technical and the People side of things.

The PMO Podcast™ Points Memo presents, “Continuous Improvement - You don’t have to make something to make it better." For those of you regular listeners to the show, you already know that I am a very big proponent of continuous improvement. And, I am just as excited when I see Continuous Improvement in action as I am disappointed when I see opportunities for improvement missed altogether for lack of even trying. One of the simplistic beauties of continuous improvement is that you don’t necessarily have to make something, rather you can just make it better. Take the case of Jibbitz. It is an amazing story and inspiration to anyone with an idea for improvement.

This week The PMO Podcast™ Featured Story presents, “People Management Tips for the PMO”, presented by Mark Perry (about Mark), host of The PMO Podcast™. Quite often, in the PMO, people management is neglected. This is far more common than one would think and perhaps primarily due to the fact that project managers are often high performance, low maintenance, professionals that do not need managing. But, everyone needs a manager. And some would contend that those highly skilled high performers need even more management, because there is simply more at hand to manage. So today, we have ten people management tips for the PMO.

The PMO Podcast™ Points Memo presents, “Don't let your good ideas die on the vine." Have you ever had a good idea that you just knew would make a difference to the business or your organization that for one reason or another you let die on the vine. Whether professionally or personally, all of us have good ideas from time to time, and some of these ideas are even great ideas. Hear the story of Mary Carty and his million dollar idea.

This week The PMO Podcast™ Featured Story presents, “What are PMO Content Assets?”, presented by Mark Perry (about Mark), host of The PMO Podcast™. Have you heard the term, “PMO Content Assets?” Do you know what they are? And, do you have some? Well, if you are like most project management professionals, you absolutely have PMO content assets. The PMO Podcast™ Points Memo presents, “Step outside the box and think process, not methodology." Have you ever wondered why so many PMOs have struggled with their approaches to project management? Often times, despite the very best of efforts and intentions, when PMOs go about establishing their project management methodology the outcome of such efforts are often not met with the amount of success that was originally expected. This week The PMO Podcast™ Featured Story presents, “Do you have a PMO Architecture?”, presented by Mark Perry (about Mark), host of The PMO Podcast™. For most organizations, the inner workings of a PMO involve and require quite a bit more than any one vendor product offering such as a Project Portfolio Management application can do. And, this is to no discredit to the many fine vendor PPM applications out there on the market. When it comes to setting up and managing a PMO, more and more organizations are implementing an architecture approach for the PMO. Do you have one?

The PMO Podcast™ Points Memo presents, “Ten suggestions for PMO maturity that any organization can adopt." We all know what project management maturity is and we all have our favorite PMM models and approaches to project management and capabilities maturity. But sometimes lost in the PMMM minutiae are practical suggestions that can get an organization started and keep it going down its own special path of improvement and maturity.

This week The PMO Podcast™ Featured Story presents, “Process Lessons Learned from Singapore Airlines”, presented by Mark Perry (about Mark), host of The PMO Podcast™. No matter how best-of-breed an organization is, it must not only embrace those processes and policies that made it best-of-breed, but it must have a commitment to not just following the process but improving it as well.

The PMO Podcast™ Points Memo presents, “Behind every good dashboard is a good policy." Whether a company has a leading PPM application or inhouse developed tools for project management, PMO Dashboards can help management, the leadership team, and all those involved in or supporting project efforts to quickly and easily see the status of the top projects of the organization. A key part of any kind of dashboarding, PMO or otherwise, is the policy surrounding the dashboarding.

This week The PMO Podcast™ Featured Story presents, “International Project Manager Travel Survival Tips”, presented by Mark Perry (about Mark), host of The PMO Podcast™. So you are considering a career in International Project Management or perhaps you have been offered a unique and exciting international project to head for your company. International Project Management sounds exciting and it can be. But it also can be an experience that can defeat even the best of project managers and business professionals and this defeat has very little to do with project management or business skills. Mastering international travel will go a long way to helping you not just survive, but thrive, in your internal project management activities.

The PMO Podcast™ Points Memo presents, “The Power of Acknowledgement." Recently, I read a great book called, “The Power of Acknowledgement”, by Judy Umlas, of the International Institute for Learning. In this book, Judy calls to attention how valuable it can be to acknowledge others. Everyone likes to be thanked for their efforts, especially when they go beyond the call of duty. And, it makes the acknowledger feel good too. But far more important than the feel goods is the fact that Acknowledgement is just good business.

This week The PMO Podcast™ Featured Story presents, “Online Project Management Solutions for Everyone, an interview with Brandon Baker, Solutions Specialist, EPM Live”, presented by Mark Perry (about Mark), host of The PMO Podcast™. And, a way to do this in a fast, low risk, and affordable manner? Well, today we are going to hear about such a way from Brandon Baker, Solution Specialist, with EPM Live.

The PMO Podcast™ Points Memo asks, “When a project fails, who is to blame?!" The project manager is the person that must deliver the project and manage and be responsible for all issues and obstacles that stand in the way of successful project delivery. So, at the end of the day, there is only one person to blame for a failed project, the project manager. Or, is something else really the blame. What you hear, might surpise you!

This week The PMO Podcast™ Featured Story presents, “PMO Models: Are they emphasized too much?”, presented by Mark Perry (about Mark), host of The PMO Podcast™. Why is it that so much deliberation is placed on PMO Models? Too often, organizations myopically focus on "the model" and in end up choosing which of many potential approaches the best fit is. And sometimes lost in the deliberations is the fact that each of these many models has practical characteristics that would well serve just about any PMO.

The PMO Podcast™ Points Memo asks, “Is your PMO a profit center?" Recently I read a great article on Gantthead.com by Andy Jordan titled, “Is your PMO a profit center?” In this article Mr. Jordan suggests that companies have long struggled with being able to measure the benefit of a PMO, but it need not be as complicated as it is made out to be. Andy goes on to discuss a number of ways that PMOs can consider a financial measurement for the PMO. Andy’s article does a great job of teeing up the topic for discussion and consideration.

Why is it that in a business conversation the simple term PMO conjures up such vast differences in thoughts, ideas, and convictions? There are those people that think of this three letter acronym more as a four letter word - and not a nice one at that. And, then you have those people that are so passionate about "All Things PMO" that you sometimes wonder where all of that PMO passion comes from? This week The PMO Podcast™ Featured Story presents, “The 2007 Top Ten PMO Setup Tips”, presented by Mark Perry (about Mark), host of The PMO Podcast™. Have you ever set up a toy at Christmas? Do you remember the first time you put together a swing set for your kids, or built a tree house, or assembled a doll house? If you are like me and many others, such tasks are always easier the second time around and get easier the more you do them. The same can be said for setting up a PMO. So today, we have a “Top Ten” list of tips for setting up a PMO amassed over the course of 2007.

The PMO Podcast™ Points Memo presents, “Motivation and Habit." Perhaps one of the most important discoveries in the field of business psychology is that 95% of what we think, feel, do, and achieve is the result of habit. According to the experts, beginning in childhood, we all develop a series of conditioned responses that make us automatically react in almost every situation. And in due time, successful people develop and have “success habits” and unsuccessful people do not. The end result; motivation is what gets you started, habit is what keeps you going.

This week The PMO Podcast™ Featured Story presents, "Don't Assume Project Managers are Good PMO Team Players", an interview with Ron Anderson, President of The MTC Firm, presented by Mark Perry (about Mark), host of The PMO Podcast™. Consider the following. Your organization has just decided to implement a PMO and you have been named to set it up and manage it. Your CIO, along with his management team, has already put in place most of the PMO staff in terms of project managers and shared resources and has stressed to you the importance of good teamwork. As you plan and look forward to heading this new unit, you are not doubt excited and motivated to achieve success for the PMO. But, does your team have the same kind of excitement, motivation, and commitment. Your project managers can management projects, presumably, but are they good PMO team players? The answer may surprise you and hear to tell us more about this very interesting subject is Ron Anderson, the President of The MTC Firm.

The PMO Podcast™ Points Memo presents, “Managing Workplace Conflict." When people work together in groups, there are bound to be times when individuals disagree and conflicts arise. Whether these disagreements become full-blown feuds or instead fuel creative problem solving is, in large part, up to the person in charge. Management and team leaders can do a lot to ensure that your folks deal with workplace disagreements in proactive and productive ways by knowing when and how to intervene. This week The PMO Podcast™ Featured Story presents, "Process Configuration vs. Methodology Development", presented by Mark Perry (about Mark), host of The PMO Podcast™. Every PMO has a project management methodology, some have multiple methodologies. While some organizations do a very good job with their methodologies, many organizations find methodologies fine in theory but often lacking in practice. One approach and alternative to methodology development that more and more PMOs are adopting is process configuration. Process configuration is an approach to defining, documenting, rendering, using, maintaining, and improving the best practices of the PMO. It is an extension upon traditional methodology development and policy documentation based approaches. Process configuration is a framework approach that provides a consistent view of the processes of the PMO, a consistent level of detail, and integration into the process of the tools, information, and organization domain knowledge that support the integrity of the process and of the project efforts.

The PMO Podcast™ Points Memo presents, “Night out on the town." Do you have an award program for your project managers? Have you tried Night Out On The Town Awards? Not every organization is right for this kind of award. It is not a lot of money and in some organizations where other recognition programs are in place, such an award may not be necessary. But if your PMO lacks a certain level of morale, team well being, and behavior; take a moment to think about things that you can do to influence the environment and facilitate the results you want. Sometimes, it is the small things we do that have a large effect.

The PMO Podcast™ Points Memo presents, “Be the special teacher." Have you heard the story of the special teacher? Years ago, a professor at John Hopkins gave a group of his graduate students an assignment. He instructed them to go to the slums of New York, take 200 boys, between the ages of 12 and 16, and investigate their background and environment. Then develop a prediction of their chances of success for the future. Twenty-five years later another group of graduate students was given the job of testing the prediction. What was the shocking discovery? Hear the story of the special teacher.

For others, a PMO dashboard is a series of graphs and indicators, produced dynamically, that show transactional information derived from the PMO’s PPM application. And for yet others, a PMO dashboard is a static, time-stamped, view of the current status of the project portfolio. So, what is a PMO dashboard? Who is right, or the most right?

This week The PMO Podcast™ Featured Story presents, "The Value of Project Management", presented by Mark Perry (about Mark), host of The PMO Podcast™. What is the value of project management? There has been so much written and said on the subject of the value of project management that it is hard to believe there are those out there that don’t believe, don’t support it, or perhaps just don’t get it. The PMO Podcast™ Points Memo presents, “Look, Listen, and Learn." Many people know the story of the clinical research being done on a compound called UK92-480. This compound was being studied for use in hypertension, high blood pressure, and Angina Pectoris, a form of cardiovascular disease. Though the compound failed its clinical trial, the unintended side effects proved to be very marketable giving us the drug Viagra. But do you know the story behind the story of how the research team found out from the men in the clinical trial all about their side effects? Sometimes, you have to look and listen before you can learn.

The PMO Podcast™ Points Memo presents, “Leadership Attributes." Attributes establish what leaders are, and every leader needs at least three of them. As PMO Manager or project manager, you often will not have express authority over all those involved in the projects of the PMO. But, the leadership attributes you possess and demonstrate result in implied authority. As always, the more leadership you demonstrate, the more those working with and around you will follow. And it is easier to achieve things working with and through others, rather than doing all the work yourself.

Imagine just for a minute that you are on an airplane and you hear the pilot announce that we have lost one of our engines and our navigation system, but the good news is that we have a very strong tailwind and wherever we are going we are going to get there at a speed of 600 miles per hour. If you were a passenger on that plane, you would be just a bit disturbed and distraught by the announcement. And, if you were a team member on a project that was proceeding fast and furious without benefit of navigation, you would also feel very much the same way.

This week The PMO Podcast™ Featured Story presents, "Ten Tips for Holding Project Team Members Accountable," presented by Mark Perry (about Mark), host of The PMO Podcast™. How accountable is your project team to you and your project? Do you have resources on your project team that are shared amongst multiple projects as well as have operational work duties? So today, we have a series of ten tips for people accountability that can be used in just about any business setting and especially in a project effort.

And in those situations, you might find that being a master in something, anything, will help you greatly in achieving the task before you and in getting the kind of support that you need from your team and your boss.

This week The PMO Podcast™ Featured Story presents, "Project Selection Scorecarding for the Small PMO," presented by Mark Perry (about Mark), host of The PMO Podcast™. Project Selection Scorecarding is not the same thing as project scorecarding or your dashboard or performance scorecard of the progress of the project. Project Selection Scorecarding is a simple, yet powerful and useful, technique that is used in not only the project selection process, but the ongoing portfolio management process, and in the post project audit review process.

The PMO Podcast™ Points Memo presents, “Behind every problem, there is an opportunity." Some folks view problems as something to be avoided, others view problems as opportunities in waiting. Take the case of Edward Lowe back in 1940. Edward was in the business of producing clay-based materials that would soak up oil spills and greases. Hear how a neighbor's problem with a cat led to Edward's fortune and the name of his company becoming a household name.

The PMO Podcast™ Points Memo presents, “Don't allow a no-hit experience to get your team down." In many ways, a PMO is a lot like a sports team. Each day is an opportunity to play the game, score some points, hone your skills, and overcome obstacles preventing you from achieving your objective. It takes a lot of work and no sooner do you get things going well, than you are faced with change and the need to refine that which you have just spent quite a bit of time and effort defining in the first place.

This week The PMO Podcast™ Featured Story presents, "Encourage Reporting of Bad News," presented by Mark Perry (about Mark), host of The PMO Podcast™. In your organization, is the reporting of bad news encouraged? How do management and the leadership team respond when they hear of problems or potential problems? Most executive teams today advocate managing by very sensible processes and metrics. To them, reporting on potential problems and what can be done about it is never a problem, but reporting surprises out of the blue definitely is.

The PMO Podcast™ Points Memo presents, “The farmer and the stone." Have you heard the story of the Farmer and the Stone? It is a simple story about how not to confront a problem. Of course, not every problem is as easily removed as the farmer’s stone. But merely ignoring a problem, or recognizing it and not doing anything about, will not make the problem go away either. So, before you settle with working around a problem, take a closer look at the problem. It might not be as hard to fix as you think.

This week The PMO Podcast™ Featured Story presents, "Three Reasons to Have a Continuous Improvement Process Step," presented by Mark Perry (about Mark), host of The PMO Podcast™. Does your project management process or SDLC process have a post-closing continuous improvement process step? What exactly is a post-closing continuous improvement process step and what is the value of it to your PMO and organization? Just about everyone thinks that such ideas as lessons learned and continuous improvement are good things, but why is it that in so many organizations lessons learned so often become lessons filed and forgotten?

The PMO Podcast™ Points Memo suggests, “Walk the walk, Francis d'Assisi style." Recently, during my time with a very skilled and experienced IT veteran, technology enthusiast, and head of the PMO, I couldn’t help but be a bit taken back by his style. He spent quite a bit of his time walking around, making calls here and there, inquiry about things, offering to help or provide assistance, etc. And all of that reminded me of the story of the young monk, long ago, who had been asked by Francis d’Assisi to join him on a trip to go to a nearby village to preach. Sometimes you need to “talk the talk”, but always you need to “walk the walk.”

This week The PMO Podcast™ Featured Story presents, "Is the Work Breakdown Structure Over-Rated," presented by Mark Perry (about Mark), host of The PMO Podcast™. Recently, one of my colleagues forwarded to me the link to an interesting article entitled, “The WBS is Over-Rated.” He asked me to read it and comment back to him. It was kind of an “I told you so” email, because we had just had a friendly dispute on the value and effectiveness of work breakdown structures. He maintained that the use of a Work Breakdown Structure is over-rated and in many projects not essential. I, of course, towed the party line and cited reasons why every project should have a WBS. What do you think?

The PMO Podcast™ Points Memo suggests, “Let the rough spots sharpen your performance." If you happen to be a golfer, you may know that the early golf balls were smooth, not at all like the modern golf balls of today. In fact, if you ever had the opportunity to see a display of golf balls from early times until present day, you will notice that the transformation from the old style technology to the current state is really all about one simple feature. Dimples. There can be great value in rough spots.

Today, we are going to talk about Risk Management Planning, the first of the Project Risk Management processes.

The PMO Podcast™ Points Memo suggests, “Say it again Sam!" Did you know that the 500 most popular words in the English language have over 14,000 meanings? No wonder communications can be difficult under even the best of circumstances. Words are powerful and we need to choose our words carefully and accurately. It doesn’t take much effort to think of the many politicians, public figures, or business people that get into trouble when they use the wrong words.

The PMO Podcast™ Mailbag provides the fourth in a series of ten tips for setting up a PMO.

Project Time Management is one of the nine knowledge areas of the Project Management Institute Project Management Body of Knowledge® and Project Time Management provides six processes tremendously helpful in ensuring the integrity of the project schedule and completing the project on time. Today, we are going to talk about Activity Sequencing, the second of the Project Time Management processes.

The PMO Podcast™ Points Memo suggests, “You have to prove it!" As a project manager, sometimes, in fact often, you have to prove yourself. If you wait for opportunity to knock, don’t be surprised if it doesn’t. And, when you go out to seek opportunity, you can bet your last dollar that at every turn there is someone there getting in your way, someone else there doubting you, and yet someone else there denying you.

The PMO Podcast™ Mailbag provides the third in a series of ten tips for setting up a PMO.

This week The PMO Podcast™ Featured Story presents, "Punctuate PM with a Post-Closing Continuous Improvement Process," presented by Mark Perry (about Mark), host of The PMO Podcast™. If you are a project management professional, then you of course know all about the project management knowledge areas. But just how do you apply all of that knowledge? Take lessons learned for example. Did you know that “lessons learned” comes up in the current version of the PMBOK® twenty-five times. And, lessons learned knowledge base comes up nine times. That’s thirty-four references to lessons learned. Now, that sounds great. But, at the end of the day, the real question is, “Is the opportunity for improvement handled effectively?” The answer, for many organizations, is no and that is where a post-closing continuous improvement process step can be of great value.

The PMO Podcast™ Points Memo suggests, “There's power in lessons learned." I know of a man, and you know this man too, who despite his weight problem became a successful model and actor. Today, Richard Simmons is recognized all over the world for his weight loss crusade and has become a very successful, famous, and happy man. But he could not have achieved all that he did had he not learned from the things that didn’t work and the mistakes that nearly killed him.

Well, meet Ole Evinrude. You've got to hear his story!

This week The PMO Podcast™ Featured Story presents, "Eight Risk Management Survival Skills," presented by Mark Perry (about Mark), host of The PMO Podcast™. If you are a project management professional, then you of course know all about Project Risk Management. But how do you take that knowledge and apply it without having to re-create the wheel time after time for each new project. Well, one way is develop a common technique that can be repeated from project to the next. And that is the aim of today’s feature. Provided are eight risk management survival skills, most in the form of a checklist of over 50 questions.

The PMO Podcast™ Points Memo suggests, “Sometimes, you've got to go out on a limb!" Some people are unwilling to risk the ridicule of the leaders in their industry, while others risk starting a whole new industry altogether. It has been said that nothing will ever be attempted if all possible objections must first be overcome. Most anything, truly worthwhile, involves some degree of risk. As Will Rogers once said, “You’ve got to go out on a limb sometimes, because that’s where the fruit is.”

The PMO Podcast™ Mailbag answers a listener question about managing project risk.
